This policy explains how Workflows Australia handles personal information collected through this website and when you contact us. Workflows Australia is a registered business name operated by Alexander Michael Stathopoulos, an individual and sole trader, ABN 99 441 681 460, based in South Australia, Australia.
We aim to handle personal information in line with the Australian Privacy Principles, even where the Privacy Act 1988 (Cth) may not apply to a small business.
What we collect
When you request a free consultation, we collect:
- your name, so we know who we are speaking with
- your work email address, so we can reply
- your business name and location, so we can prepare for and arrange a visit
- what you would like to make easier, so the consultation is useful
If you email us, we collect your email address and the information you choose to include. We do not ask for, and you should not send, passwords, access details, sensitive personal information (such as health information) or confidential client data.
Information collected automatically
Our website is hosted on Cloudflare. Like most web services, Cloudflare processes technical information such as IP addresses, browser details and request logs to deliver the site, prevent abuse and keep it secure. We use a short rate limit based on IP address to protect our enquiry form from spam.
Our enquiry form also uses Cloudflare Turnstile to check that it is being filled in by a person rather than an automated bot. Turnstile loads from Cloudflare and processes technical signals from your browser, such as your IP address and browser characteristics, only for this security check. It does not read what you type into the form. Cloudflare’s Turnstile privacy addendum explains how it handles this information.
We do not use analytics, advertising or tracking cookies. Fonts and other site files are served from our own website rather than third-party services, apart from the Turnstile check on our enquiry form.
How we use personal information
We use personal information to:
- respond to your enquiry and arrange your consultation
- prepare proposals or provide services you ask for
- keep business records and meet our legal obligations
- protect the website and our business from misuse
We do not sell personal information. We will not add you to marketing emails unless you separately agree to receive them.
Who we share it with
We share personal information only with service providers that help us run the business, and only as needed. These currently include:
- Cloudflare for website hosting and security
- Resend for delivering consultation requests to our inbox by email
- Zoho for our business email
These providers may store or process information outside Australia, including in the United States and other countries where they operate. We choose providers with appropriate security and privacy commitments. We may also disclose information where required or authorised by law.
Storage, security and retention
Consultation requests are delivered to our business email account, which is protected with multi-factor authentication and limited to authorised people. We keep enquiries that do not proceed for up to 12 months after our last meaningful contact, then delete or de-identify them. Records connected to client work are kept for longer where needed for contracts, tax or legal obligations.
Access, correction and deletion
You can ask to access, correct or delete the personal information we hold about you by emailing support@workflowsaustralia.com.au. We may need to confirm your identity first, and we will respond within a reasonable time.
Questions and complaints
If you have a question or concern about privacy, contact us at support@workflowsaustralia.com.au. We will look into it and respond. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.
Changes to this policy
We may update this policy when our services, providers or practices change. The date at the top of this page shows when it was last updated.
